Revision notes

The Academic Freedom and Tenure Committee (AF&T) has reviewed the current Sabbatical Leave policy (Faculty Handbook C200) and is recommending changes to reflect best practices in higher education, current UNM processes and procedures, and align with Collective Bargaining Agreement Unit 1. In addition, sections were created to align with the new format of policies in the Faculty Handbook.

The proposed changes were sent to the campus for feedback on February 14 and on August 31, and AF&T reviewed the comments received and made changes where appropriate. These proposed changes are shown in red in the highlighted version of the proposed revision policy document and are summarized below:

  • Applicability Section: Adds a reference to the Collective Bargaining Agreement. Although the intent is for this Policy to closely align with the collective bargaining agreement, there may be some differences.
  • Policy Rationale Section: Adds language that aligns with the intent of the current Sabbatical Leave policy.
  • Policy Statement Section: Includes the following new language:
    • Section 1: Pertains to the effective date of the proposed policy changes and indicates these changes will not be retroactive.
    • Section 2: Clarifies and expands on the types of academic activities that can qualify for sabbatical.
    • Section 3 Eligibility:
      • Proposes removal of the restriction that a sabbatical will not be granted to subsidize graduate work or work on advanced degrees. This reflects the value a specific advanced degree may have in advancing a faculty member’s academic scholarship and professional development and enhance their contribution to UNM.
    • Section 4 Options:
      • Adds language to indicate that part-time faculty are eligible for a sabbatical that is prorated for their FTE. This reflects current practice. It clarifies the time frame when a faculty member can apply for sabbatical. In addition, it clarifies that a faculty member may supplement their salary while on sabbatical. This is common practice at other institutions.
      • Adds an option that allows a faculty member to propose for consideration an alternative option that is of equivalent time and salary.
    • Section 7 Restrictions:
      • Adds language “if it is necessary for a faculty member to defer a sabbatical, the duration required for eligibility for a subsequent sabbatical will be reduced by the length of the deferral.” This aligns with Collective Bargaining Agreement Unit 1 and creates equity across UNM, especially for faculty in small departments that can be negatively impacted due to limited resources and reflects best practices at other colleges and universities.
      • Specifies how deferrals will be documented.
  • Procedures
    • Section 1:
      • Adds language pertaining to department chair and dean responsibilities and provide a clarification on deferrals.
      • Deletes the sections that place a limit on the number of sabbaticals that can be granted. AF&T researched current practices at 26 institutions (big, small, public, private): 21 placed no limitation on the number of sabbaticals granted; 5 placed limitations on the number of sabbaticals granted, of those only 2 placed limitations by department, the other 3 placed the limitations at the institution level, and one clearly stated, “Requests for leaves from faculty members of small or large departments shall receive equal consideration.” AF&T adopted this language.
    • Section 3:
      • Clarifies that all faculty may submit applications up to 18 months in advance.
      • Removes the differentiation between HSC and other faculty pertaining to application deadlines. The differentiation pertaining to application deadlines is between 9-month and 12-month faculty.
    • Sections 5, 6, & 7:
      • Adds language reflecting current practices at UNM and clarifying eligibility for annual leave accrual for 12-month faculty taking a sabbatical.
